Job Summary
General Duties
- Creates and maintains standard documents/templates for company-wide use.
- Produces both complex and routine documents.
- Originates, revises, and combines material from rough drafts, corrected copies, or previous versions of documents.
- Reviews the work of self and others for correct grammar/spelling/punctuation, proper presentation, adherence to company standards, and where qualified, accuracy of information.
- Resolves difficult formatting problems and determines most appropriate software program for processing.
- Properly stores electronic files in company systems.
- Assembles, binds and ships completed documents as needed.
- Troubleshoots document production and reproduction equipment as needed.
- Collaborates with the Firm Administrator in the selection/acquisition of production equipment/services.
- Provides training on document production software and standard documents/templates.
- Tracks employee registrations/certifications and maintains employee lists of same.
- Supports employees in obtaining and renewing employee registrations/certifications, including the drafting of related applications.
- Tracks company state, county, city, and other municipal licensing/registrations.
- Manages all state and municipal license/registration annual reporting and renewals.
- Completes, submits, tracks, and periodically updates (as needed) vendor qualification applications and renewals.
- Maintains and updates SAM and DUNS registrations.
- Drafts subconsultant/subcontractor contracts using standard forms.
- Performs other duties as assigned.
Office Support
- Performs general office support functions as may be needed.
- Provides backup phone support for receptionist (extremely low volume).
Accounting Support
- Assists Accounting in the creation of monthly utilization/billing/tax reports, customized invoices, and correspondence.
- Assists in the complete vendor/credit applications.
Marketing Support
- Assists Marketing with occasion printing and assembly of marketing packages.
